PROCESS ANALYSIS AND REDESIGN SERVICES

Patient Safety initiatives have motivated healthcare organizations to carefully consider the implementation of Advanced Clinical Systems (ACS). However, implementation of systems without consideration of the associated processes is a frequently made mistake. Planning and Implementation of Advanced Clinical Systems for physicians, nurses and other care givers represents a significant challenge to many healthcare organizations. The related process changes that must occur in order to successfully implement these applications, dramatically impacts all clinicians associated with the patient’s hospital encounter.

Navin, Haffty & Associates recognizes the importance of operational and application integration. We utilize concepts incorporated in Six Sigma, and LEAN Implementation Methodologies, tailored to individual client needs. One of the major challenges in the implementation of Advanced Clinical Systems is the separation of process, policy and system issues. Oftentimes systems are built to mirror outdated manual processes, thereby creating complex documentation tools, with numerous redundancies. Navin, Haffty & Associates uses proven techniques to eliminate barriers to successful implementations, by assisting in their identification, mitigation and subsequent successful transition.

Tools utilized include the following:

  • Project Charter o Includes the Clarification of Care Delivery Model, identifies Executive sponsorship, key stakeholders, background, business needs, Goals and Objectives, Current State and Desired future state, project scope, project assumptions/dependencies, project risks, milestones and acceptance criteria

  • Process analysis and flowcharting of current state and future state, which provides redesign methodologies that incorporate “best practices”, Documentation by Standards, etc.
    • Documents current clinical processes in all impacted clinical areas, utilizing flowcharting software,
    • Teams review processes and identify opportunities for improvements,
      Identify opportunities for improving billing functions,
    • Future states are defined and documented,
    • Assessment of existing application setup and system optimization, thereby enhancing new clinical processes,

  • Policy review as related to impending changes

  • Provision of insight into Standardization tools
    • Standardized clinical language; i.e. SNOMED CT, NANDA, NIC, NOC

  • Benchmarking tools are used to define actual improvements; i.e. time savings, error reduction, etc.

  • Project Plans

  • Tools to ensure Alignment with Strategic Plan.

  • Change Management tools and techniques are provided to complement the transition.

Duration of Service (Assumption: 150 bed Community Hospital) Typically the current state process analysis phase takes between 4 and 6 months, followed by the future state process redesign phase. The length of the future state phase is completely dependant on the size, complexity, and the internal resource commitment of the organization.
